Incident reporting has two slow parts. Getting the worker to file the report, and getting the manager to finish the investigation. Safety Space AI works on both. The worker describes what happened, by voice or text, and AI suggests the corrective actions. The manager completes the investigation and AI drafts the report. In between, anyone with the right permissions can ask about the incident in plain English, in Safety Space or in ChatGPT, Claude or Microsoft Copilot.
Which incident reporting software uses AI?
Safety Space uses AI at three points in the incident process. None of them replace a person. All of them cut the time between an event and a closed-out action.
1. At the report: suggested corrective actions
When a worker submits an incident or near miss, Safety Space AI reads the description and suggests corrective actions. For "forklift reversed out of bay three without a spotter" it will suggest things like a spotter requirement for reversing in that bay, a toolbox talk, and a check of the reversing alarm. The manager accepts, edits or ignores each suggestion. Nothing is assigned until a person says so.
2. At the investigation: a drafted report
Once the investigation is done, with statements taken, photos attached and the root cause recorded, Safety Space AI drafts the investigation report. It pulls the description, people involved, timeline, contributing factors, root cause and corrective actions into a structured document. A competent person reviews it, changes what needs changing and signs it off. That turns an afternoon of writing into twenty minutes of checking.
3. Afterwards: questions in plain English
Through the Safety Space MCP connector, a manager can ask ChatGPT, Claude or Microsoft Copilot things like "how many forklift near misses have we had this year, by site?" or "which incidents from October still have no root cause recorded?" and get answers from the live records, with charts and tables. They can also log an incident or raise an action from the assistant, within their permissions.
What the process looks like end to end
| Step | Who | What AI does |
|---|---|---|
| Report the incident | Worker, on the mobile app | Nothing yet. Voice dictation turns speech into the description. |
| Triage | Supervisor or safety manager | Suggests corrective actions. Flags descriptions that match notifiable incident criteria for a person to check. |
| Investigate | Investigator | Nothing. Statements, photos and root cause are recorded by people. |
| Write the report | Investigator | Drafts the investigation report from the record for review and sign-off. |
| Track actions and trends | Managers, directors | Answers questions about this incident and all incidents, in Safety Space or in ChatGPT, Claude or Copilot. |
What AI does not do
Being clear about this is part of being trustworthy.
- It does not decide whether an incident is notifiable. It can flag a match with the criteria. The decision and the regulator notification are yours.
- It does not assign actions on its own. Suggestions become actions when a person accepts them.
- It does not sign off a report. A competent person does.
- It does not see data the user cannot see. Permissions follow the user's Safety Space role. The privacy and permissions page has the detail.
Who is this for?
Safety Space is used by construction, manufacturing, mining and quarrying, logistics, aged care and other regulated industries across Australia and New Zealand. The incident module handles the workflow, notifications, investigations and analytics. This page covers the AI layer on top. If you want the full module, see incident reporting software.
Frequently asked questions
Can AI write an incident report?
AI can draft one. Safety Space AI writes the investigation report from the incident record. A competent person reviews and signs it off.
Can I log an incident from ChatGPT or Copilot?
Yes. The Safety Space MCP connector can read and write. Tell the assistant to log a near miss and the record is created in Safety Space under your name, within your permissions, with the change recorded in the audit trail.
Does AI decide whether an incident is notifiable?
No. It can flag a description that matches the criteria under the WHS Act or the Health and Safety at Work Act 2015 so the right person looks at it quickly. The call stays with you.
Can I turn the AI suggestions off?
Yes. Suggested corrective actions can be switched off for your organisation if you prefer to assign actions without them.
Does the worker need to do anything different?
No. They report the way they always have, by voice or text on the app. The AI works on the manager's side.
